Say Goodbye to Sideways Faxes! Auto-Rotate is Here (Beta)

We’re excited to introduce Auto-Rotate! Medsender now automatically detects and rotates pages to ensure faxes are properly oriented before processing. When you receive faxes that may have been sent upside down or sideways, our OCR feature will now detect the correct orientation and rotate the pages accordingly. 

Please note that this feature is currently in Beta. While it works well for most documents, the auto-rotation accuracy may vary on pages with poor image quality or significant blurriness. The clearer and sharper your document images are, the more reliably the system can detect and correct the orientation. 

We're continuing to refine this feature and welcome your feedback as we work to make document processing even more seamless!

Release Notes Recap

We're excited to share the latest updates to Medsender! We've enhanced your experience with new features, improved workflows, and better integrations. Here's what's new in case you missed it!

 🎯 Referral Management

Enhanced Analytics Dashboard

Your Referral analytics dashboard now shows even more valuable insights to help you track referral performance. We've added a chart creation column to show which referrals have successfully had a patient's charts created. Additionally, the referral report has been optimized and paginated for faster loading, making it easier to work with large volumes of referrals.

Automatic Referral Status Updates (ModMed API Users)

For practices with ModMed API, referral statuses now automatically stay in sync with your appointments. When you mark an appointment as "Completed" in EMA, the referral status in Medsender will automatically update to "Completed." The same applies for "Cancelled" and "No Show" statuses—saving you time and ensuring your referral tracking stays accurate without manual updates.

SMS Export to Patient Charts (ModMed Users Only) 

SMS messages sent through Medsender's referral management can now be exported directly to patient charts in EMA. This ensures all patient communications are properly documented and accessible where you need them.

Role-Based Analytics Access

We've added role-based access controls for the analytics page in the admin dashboard. Now non-admin users can be granted specific access to view analytics without needing full admin privileges. This gives you more flexibility in how you share insights across your team while maintaining appropriate security controls.

Better Time Display

Referral analytics now display time periods. Instead of showing "48 hours," you'll now see "2 days" when viewing referrals that are older than 24 hours, making it easier to quickly understand timelines at a glance.

 📞 Voice AI Enhancements

Rate MAIRA's Call Quality

You can now provide feedback on Voice AI calls directly in the web app. When reviewing call logs for MAIRA, you'll see thumbs up and thumbs down buttons to quickly rate call quality. You can also leave detailed comments for our team to review, helping us continuously improve the Voice AI experience for your practice.

 🏥 EMR Integration Improvements

Ordering Provider Information (EMA)

For documents categorized as "Results - Radiology" in EMA, the ordering provider information is now automatically saved to the patient chart.

 📧 Email & Communication

Emailed Records Support

You can now use the "Notify" button for emailed records giving you more options for how you handle incoming documents.

Email Provisioning

Developers working with our API can now provision new email addresses directly through the platform, streamlining the setup process for email-to-fax workflows.

📋 Distribution Lists

CSV Import

You no longer need to manually enter contacts one by one! You can now import distribution lists via CSV file upload, making it quick and easy to set up large contact lists.

Expanded Capacity

Distribution lists now support up to 3,000 contacts (increased from the previous limit of 50), with optimized 8-hour linear batching to ensure reliable delivery of your documents to large recipient groups.

 📠 Fax Management

Default Fax Number Selection

You can now choose a default fax number in your Settings page. This number will be automatically used when you send faxes from your EMR via Medsender's one-click send, eliminating the need to select it each time. If you haven't set a default, the system will use a fax number from your available list.

🎉 NEW FEATURE: Apply Signature or Text to All Pages!

We are thrilled to announce a new time saving update: you can now instantly apply your signature or text to all pages of a multi-page document! This eliminates the need for manual placement on every single page.

Sign or add text once, apply everywhere! Simply place your signature or text on one page, and duplicate it across all other pages with ease.

Follow these quick steps to apply your signature or text across an entire document:
How to Apply to All Pages:

  1. Sign/Add Text to the First Page:
    Click "Sign Document" or add a textbox from the toolbar.
    Place your signature or text in the desired location on the first page.
  2. Select Your Signature/Text:
    Click on the signature or text you just placed to select it.
  3. Apply to All Pages:


    With the signature or text box selected, locate the new "Apply to All Pages" icon (double square icon).
    Choose "Apply to All Pages Icon."
    Confirm your selection by clicking "Yes, Apply" when prompted: "This will create a copy of the selected signature on all pages with matching orientation. Continue?"
  4. Save Changes:
    Click "Save Changes" to save your edits! 

Quick Tips!
Position first: Ensure your signature or text is placed correctly on the first page before applying it to all others.
Preview before saving: Scroll through all pages to confirm the positioning is as desired.
Edit individually: You can still adjust the position of signatures or text on any individual page after applying to all.

Update to Patient Name Fields

We've changed how we save patient names!

Previously, users would put in the patient name in one field. This would prove problematic whenever we would take that name and push data to your EMR. We would have to parse the name you put in to try and determine what the first, middle, and last names were. This meant that, sometimes, we wouldn't be able to find a matching chart even though the name was correct since we may not have parsed it correctly. To solve this, we now ask users to input separate first, middle, and last names when editing documents. This means we no longer have to try and guess pieces of the patient's name, and will ensure a better matching success rate to patients in your EMR.

However, this could mean there are some discrepancies. You may see a different patient name show up when you try to send to chart or create chart for a document you've received before this update. If that's the case, we'll display a warning to alert you so you can correct any potential issues that come up before you send the document to a chart. Any new record received after this update should not have this problem.

Referral Analytics Updates

New Analytics Refresh!

Get ready for a massive upgrade! We've just launched a new, refreshed version of Analytics! Customers with Referral Management can now dive into an updated UI on the "Analytics" page. This powerful new version delivers significantly more valuable data related to Referrals, empowering you to generate and download insightful reports. Initially, this is exclusively for admins, but, we'll soon release role-based access, allowing admins to grant access to normal users.

July 24 Updates

Include below are all the updates we have for the month of July until now.

New Features

  • We now support searching for patients using the ModMed API when creating a chart! For customers using the ModMed API, you previously could search for patients when sending to chart from Medsender. We've now added that functionality to the create chart.
  • Medsender will now auto-label Email Attachments. If you have auto-labeling set up for your inbound faxes, we'll use the same ones to auto label any emails you receive.

Enhancements 

  • We now display the coversheet when viewing sent records! Some records when sent include a coversheet automatically included by Medsender. We now display that coversheet along with the document that was sent when viewing any sent record. It will also include the coversheet when sending to chart from the sent page.
  • We now display the user's name in EMR upload statuses. When you hover over the status icon of an EMR upload, we will show the user's name who triggered that request (if applicable).
  • You can now update the appointment date before sending a referral reply.
  • Display new archived filter in the inbox page.
  • Support saving the secondary phone number when creating a chart with the ModMed API.

Bug Fixes

  • Fixed an issue with documents sometimes not saving when you've deleted annotations.
  • Properly import task providers from EMA and save any new updates if they've been marked as active or inactive.
  • Fixed importing Referring Providers for ModMed API customers when an existing provider is marked as active or inactive.
  • Increased responsiveness for the referrals page in the admin dashboard.

June Updates

It's been a while since we've posted an announcement, but we're back! Here's everything we've been up to since our last announcement:

New Features

  • You now task while creating a chart! For EMRs that we support tasking in, you can now create a task while creating a chart from Medsender.
  • ModMed API users can now search for referring providers in EMA. If you are creating a new chart from Medsender, you can now search for referring providers based on what's in EMA so you can make sure the chart has the correct referring provider linked to it.
  • You can now resend failed referral SMS messages. When you look at your sent referral SMS messages, if one of them failed, you can resend it within the same view.

Enhancements 

  • We've updated our multi patient detection AI Model! Accuracy has improved significantly especially when it comes to false negatives (when the document contains multiple patients and our AI doesn't mark it as such).
  • You can filter for assignee in Referral Management. To help you find documents that have been assigned, you can now filter for referrals who have been assigned to specific people.
  • We now display appointment details in Referral Management. For users with supported EMRs, we've been collecting appointment details for your referrals. We now display those details in the Referral Management page for you to see.
  • You can now delete labels from Email Attachments.
  • We added a new archived filter to the inbox and referrals page. This makes it a lot more clear to see what's being hidden in your current view.
  • We now use the note field from task templates when auto tasking. If we auto task using a task template, we'll use the note for the task template when creating the task.
  • You can now filter by appointment date in referral management.
  • You can send to distribution lists from the web app along with the admin dashboard.

Bug Fixes

  • Fixed an issue with searching in the inbox pages with the search string containing apostrophe.
  • Fixed an issue with viewing document comments on certain types of documents.
  • Assign new status instead of blank to Email Attachments marked as referrals.

May 15 Updates

New Features

  • You now leave comments on your inbound documents! When you open up a document you've received using the slide-out viewer, you'll now see a comments section where any member of your team who can view that document can leave comments. You can use it to update your team on progress as you work, or ask a question, or any other capacity that may be useful to you. This feature is available to any document in the Inbox, Assigned, and Referral Management views. Check out the GIF below to find out how to use it.

May 8 Updates

New Features

  • We've added multiple document detection to DIRECT messages from EMA! If you receive a DIRECT message in EMA and it automatically syncs into your Medsender account, we'll now detect if you've received documents (through fax or DIRECT) for the same patient recently.
  • We now pull referring providers from EMA! If you use the ModMed API with Medsender, we now pull the referring providers listed in EMA into Medsender. We have another update coming shortly where you can use this data to select the referring provider when creating a chart in EMA from Medsender.

Enhancements

  • The signature timestamp is now grouped with your signature! If you have the feature enabled to auto generate a timestamp for signatures, any time you move the signature or timestamp, the other will follow it so you don't need to move both of them separately.
  • You can temporarily toggle to see Referrals in the Inbox! If you have the Referral Management package and have referrals only show up in the Referral Management page, you can now toggle to see Referrals when you're in the inbox.

Bug Fixes

  • Addressed an issue where the header would be hidden sometimes for users without a Medsender account when viewing documents.
  • Fixed an issue with saving annotations for email documents received.

April 23 Updates

New Features

  • You can edit records received via email in your inbox! If you have a Medsender email address that you receive documents to, you can now edit those documents within our built in PDF viewer.

Enhancements

  • We've updated some of our AI Models! We've updated the AI models for insurance extraction, referring provider, ordering provider, and detecting if the document contains multiple patients.
