Easier Task Template Setup and Auto-Tasking Visibility (EMA/ModMed Users Only)

We’ve made task templates easier to set up and review!

The setup form is now organized into three simple sections:

  • Who can use this template? Choose whether the template should be available to you, a specific department, or your entire organization.
  • When should it run automatically? Choose the document category that should trigger the template when a matching fax comes in.
  • What task should EMA create? Set the task details, assignee, priority, and notes that should be created in EMA.

We also made the task template main view more helpful. There is now a Trigger column that clearly shows whether each template will create tasks automatically or is manual only.

For example:

  • Auto: Prior Auth means Medsender will automatically create a task when an incoming fax is categorized as Prior Auth
  • Manual only means the template will not run automatically and can only be used when someone manually creates a task

This should make it much easier to confirm which templates are set up for auto-tasking and which ones are not.

Nothing about your existing templates or task routing is changing. This update is designed to make task template setup easier to follow, easier to review, and less confusing for new users.

If you make changes in the document viewer and try to move away before saving, Medsender will now warn you first. You’ll have the option to save your changes, keep editing, or discard them before continuing.

This helps you move through records quickly without worrying about losing unsaved annotations or edits.

We’ve refreshed the label picker to make labeling records faster and easier to scan.

Your most-used labels from the last 30 days now appear first, personalized to you. This works when labeling a single record or applying labels in bulk.

The picker also has a cleaner layout, so it’s easier to find and apply the right labels with fewer clicks!

Upload Documents Without Patient Details

Not every document in Medsender belongs to a specific patient. You can now upload non-patient documents without entering a patient name or date of birth. 

In the upload modal, mark the file as not tied to a patient and add an optional document title instead. These documents can also be faxed externally without patient details appearing on the cover sheet.

Expanded Send to Chart Support Across Medsender!

We’ve expanded Medsender’s EMR actions so teams can send more records from the inbox directly to the patient chart.

Previously, Send to Chart was only available for certain record types and inbox views. With this update, users can now take EMR actions across inbox pages for supported records, including received faxes, email attachments, form submissions, referral replies, and other shared inbox records.

This means your team can:

  • Send records to the chart from more places in Medsender
  • Use a more consistent workflow across Received, Assigned, Uploads, and Referral inbox views
  • Reduce manual downloading, re-uploading, and switching between systems

For organizations using Medsender’s EMR integrations, this update should make it easier to manage documents from the inbox and move them into the chart with fewer extra steps.

The expanded Send to Chart workflow is available now for supported EMR-enabled accounts

Auto-Archive After Auto Upload, Now With More Control

You can now choose where automatic archiving happens after a successful auto upload.

We have enhanced our auto-archive settings to provide greater flexibility for your workflow. You can now configure auto-archive preferences independently for Inbox and Referral Management, or enable it for both workspaces simultaneously. This ensures your received faxes are automatically archived exactly where you need them after a successful upload.

To get started, navigate to Settings > Toggle Features.

✨ Introducing Auto Task Routing (EMA/ModMed Only)

We just launched Auto Task Routing to help your team spend less time manually triaging incoming faxes.

With Auto Task Routing, you can define rules so incoming faxes are automatically assigned to the right EMA task template based on document category and labels.

How it works

When a fax is auto-tasked to EMA, your active routing rules are checked from top to bottom. The first rule that matches is used.

Each rule is built with:

  • Document Category (required)
  • Labels (optional) — if you skip labels, the rule acts as a catch-all for that category

When selecting multiple labels, you can choose Any (match if the fax has at least one selected label) or All (match only if the fax has every selected label).

Each rule is connected to one Task Template. When a fax matches, the task is automatically created using that template.

Getting started

Head to Settings → Task Routing Rules (visible for admins when Auto Task Routing is enabled).

  1. Click Add Rule
  2. Choose a Document Category
  3. Add label logic, or leave labels off for a default rule
  4. Select the Task Template to route to
  5. Save, then move rules up or down to set priority

Tips to get the most out of it

  • Put your most specific rules at the top and catch-all rules at the bottom
  • Use clear rule names so your team can maintain them easily
  • Toggle rules active or inactive as your workflows change

Something not working right?

  • Rule not triggering? Check that the rule is active, the category is correct, labels match, and priority order is set
  • Routing to the wrong place? A broader rule may be sitting above a more specific one
  • Don't see Task Routing Rules? Confirm the feature is enabled for your account
