Customize How AI Titles Your Documents
Announcement

Customize How AI Titles Your Documents

We’ve made it easier to maintain consistency in document titles with AI-powered title options and custom titling!

Set up a customer category for each document category. When the AI classifies an incoming document into that category, Medsender can select the most appropriate title from the options you provide.

Custom titling is useful when the title needs to include details that vary from document to document. Medsender’s AI can use details it already extracts, such as:

  • Study type (MRI)
  • Body part (Knee)
  • Side (Left)
  • Date
  • Provider
  • Facility

For example, custom titling for an Imaging Result category could use:

Example title

“MRI - Knee – Right – January 15, 2026”

What each part means

study type - body part - side - date. Separate each part with a dash.

Using this format, Medsender can create consistent titles for the selected category while incorporating the specific details that help your team quickly identify each one.

To try it:

  1. Go to Settings → Categories
  2. Open an enabled document category
  3. Expand Title options to add a list of approved titles, or expand Custom titling to create a naming format
  4. Add your title options or custom titling instructions
  5. Save your changes

This update does not remove your ability to enter a custom title. Existing document titles are not changed automatically. Custom titling describes how a document should be named. It cannot track workflow notes, follow-up instructions, or to-dos.

If AI title options are not enabled on your account, please reach out to us and we can help enable them.

New AI Categories for Easier Document Routing!
Announcement

New AI Categories for Easier Document Routing!

We’re excited to share that we’ve simplified document category management with our new Global AI category catalog!

You can now:

  • Enable the AI categories your organization uses
  • See which categories are currently in use
  • Add classification hints to provide additional context when documents are misclassified
  • Map each AI category to the exact category name used in your EMR for auto-upload

You can choose from a standardized list of document types, including:

  • Discharge Summary
  • Orders
  • Clinical Notes
  • Biologics
  • Prior Auth Medication
  • Prior Auth Procedure
  • Treatment Consent
  • Therapy
  • Clearance
  • Medical Records Request
  • Pathology Report
  • Billing
  • FMLA / Disability
  • Workers Comp

Each category includes a description to help your team understand which documents belong there.

Classification hints are helpful when a recurring document type needs additional context for automatic categorization. For example:

“TriWest referral authorizations are referrals.”

When you add a hint, Medsender uses that guidance when classifying incoming documents into the selected category.

Nothing about your existing documents or labels is changed automatically. This update gives administrators a more consistent way to manage AI categories while preserving custom categories for manual workflows.

To try it:

  1. Go to Settings → Categories
  2. Review the available AI categories
  3. Enable the categories your team uses
  4. Expand a category to add optional classification hints or update its EMR mapping

Global AI Categories may not be enabled on every account yet. If you’d like to use this feature, reach out to our team and we can help enable it for your organization!

Create Smarter Automatic Labels with AI
Announcement

Create Smarter Automatic Labels with AI

We’ve made automatic labels more flexible with AI-powered instructions!

Instead of maintaining a long list of keywords, you can now describe in plain language which documents should receive a label.

For example, you could create a label for:

  • All Referral documents
  • Prescription refill requests that need provider review
  • Prior authorization requests requiring follow up

Medsender reviews incoming documents and applies the label when the document matches your description.

You can also add optional exceptions:

  • Describe documents that should not receive the label
  • Exclude specific document categories
  • Keep similar-looking documents from being mislabeled

Existing keyword-based labels will continue to work as they do today. You can keep using keyword matching or upgrade an existing automatic label to AI instructions when available.

To try it:

  1. Go to Settings → Labels
  2. Create or open an automatic label
  3. Choose AI instructions
  4. Describe which documents should receive the label
  5. Add exceptions if needed

Easier Task Template Setup and Auto-Tasking Visibility (EMA/ModMed Users Only)
Improvement

Easier Task Template Setup and Auto-Tasking Visibility (EMA/ModMed Users Only)

We’ve made task templates easier to set up and review!

The setup form is now organized into three simple sections:

  • Who can use this template? Choose whether the template should be available to you, a specific department, or your entire organization.
  • When should it run automatically? Choose the document category that should trigger the template when a matching fax comes in.
  • What task should EMA create? Set the task details, assignee, priority, and notes that should be created in EMA.

We also made the task template main view more helpful. There is now a Trigger column that clearly shows whether each template will create tasks automatically or is manual only.

For example:

  • Auto: Prior Auth means Medsender will automatically create a task when an incoming fax is categorized as Prior Auth
  • Manual only means the template will not run automatically and can only be used when someone manually creates a task

This should make it much easier to confirm which templates are set up for auto-tasking and which ones are not.

Nothing about your existing templates or task routing is changing. This update is designed to make task template setup easier to follow, easier to review, and less confusing for new users.

Manage EMR Upload Failure Notifications Separately

You now have more control over EMR upload failure notifications.

EMR upload failure emails can be managed separately from general record notification emails, so users can choose whether they want alerts for failed auto-upload or chart upload attempts without changing their other notification settings.

This will help you stay updated when an upload requires your attention, all while minimizing unnecessary distractions in your inbox.

Available now in notification settings!

Get Warned Before Leaving Unsaved Edits

Prevent lost edits while annotating documents

If you make changes in the document viewer and try to move away before saving, Medsender will now warn you first. You’ll have the option to save your changes, keep editing, or discard them before continuing.

This helps you move through records quickly without worrying about losing unsaved annotations or edits.

Find Your Most Used Labels Faster

We’ve refreshed the label picker to make labeling records faster and easier to scan.

Your most-used labels from the last 30 days now appear first, personalized to you. This works when labeling a single record or applying labels in bulk.

The picker also has a cleaner layout, so it’s easier to find and apply the right labels with fewer clicks!

Upload Documents Without Patient Details
Improvement

Upload Documents Without Patient Details

Not every document in Medsender belongs to a specific patient. You can now upload non-patient documents without entering a patient name or date of birth.

In the upload modal, mark the file as not tied to a patient and add an optional document title instead. These documents can also be faxed externally without patient details appearing on the cover sheet.

Expanded Send to Chart Support Across Medsender!
Announcement

Expanded Send to Chart Support Across Medsender!

We’ve expanded Medsender’s EMR actions so teams can send more records from the inbox directly to the patient chart.

Previously, Send to Chart was only available for certain record types and inbox views. With this update, users can now take EMR actions across inbox pages for supported records, including received faxes, email attachments, form submissions, referral replies, and other shared inbox records.

This means your team can:

  • Send records to the chart from more places in Medsender
  • Use a more consistent workflow across Received, Assigned, Uploads, and Referral inbox views
  • Reduce manual downloading, re-uploading, and switching between systems

For organizations using Medsender’s EMR integrations, this update should make it easier to manage documents from the inbox and move them into the chart with fewer extra steps.

The expanded Send to Chart workflow is available now for supported EMR-enabled accounts

Auto-Archive After Auto Upload, Now With More Control

You can now choose where automatic archiving happens after a successful auto upload.

We have enhanced our auto-archive settings to provide greater flexibility for your workflow. You can now configure auto-archive preferences independently for Inbox and Referral Management, or enable it for both workspaces simultaneously. This ensures your received faxes are automatically archived exactly where you need them after a successful upload.
